GHS Band Boosters Minutes – October 10, 2006

1.  PresidentÕs Report:  The meeting was called to order.

2.  SecretaryÕs Report:  The band parents were asked to take a moment to review the minutes.  The minutes were approved as corrected to state Libby Garrett is chair of Big Band Dip.

3.  TreasurerÕs Report:  A motion was passed to accept the expenses of $2,134.99 through October 9, 2006.  As of October 9, 2006, we have $12,774.19 in our checking account and $40,367.19 in our money market account for a total balance of $53,141.38.

4.  DirectorÕs Report:  Mr. Bredemeier thanked all the helpers from the football game last Friday.  We have one remaining home game this Friday (Oct. 13) and it is senior recognition night.  Call time for seniors will be 5:45 p.m. in order to allow time for DickersonÕs Photography to take their pictures.  Mr. Bredemeier expressed some concerns that alumni were hanging out in the stands and distracting the students.  He asked parents to suggest they go sit down if the alumni are getting in the way

The Metamora itinerary for this week-end will be available tomorrow (Oct. 11).  The parade time is 2:20 p.m. and the field show time is 9:30 p.m.  We will be taking the students to the mall in Peoria in between the parade and field show for a lunch break and to get out of the projected cold weather.

We will be taking school buses to the U of I parade and field show competition on October 21.  Our first fund raiser of the year, the Fannie Mae candy sale, will begin November 1st.  The CD that the band recorded last year is being copied and should be ready for sale in a couple of weeks.  Mr. Bredemeier said that the rest of his weekly announcements were sent out via email from Stewart Nyi, Communications Chair.

5.  Committee Reports

            A.  Uniforms: Vicki Tate/Laurie Pearson:  Vicki said that there are no lights in the parking lot at Metamora and recommended people bring flashlights for walking back to their cars after the field show.  We do have lights in the trailer.

            B.  Chaperones – Carolyn Icenogle/Dorene Murfin:  Carolyn thanked all the chaperones for their help.  It has all been going well and the students have been great.  She is passing a book around for chaperones for the last two field shows.  Chaperones should arrive 15 minutes prior to call time for Metamora and U of I.

            C.  Communication – Stewart Nyi:  Stewart asked if anyone had a gmail account and would invite him in.  Natasha Pamenter has one and will invite him in.  This will allow him to send out messages to the 140 or so names he has without the computer program thinking it is spam.

            D.  Publicity – Gayle Stanley: She reported that all is going well with the newspaper.  Stewart Nyi helped her get pictures into the paper for the last competition.  We now have a Snapfish account where any band parent can post pictures for viewing or purchase.  DickersonÕs also has a website with the band pictures taken at the beginning of the year at www.dickersonsphotography.com.  Some of the orders placed with him for buttons had the pin in the wrong place, it was mounted incorrectly.  Please contact him and he will replace it if that happened on your order.

            E.  Equipment – Mark Stanley:  The band trailer has a new winter home.  Two sets of lights were installed inside the trailer.

            F.  Flags – Ann Seibert: Flags are done, the senior sashes are done and the flowers ordered for senior night.  We have 28 seniors, so 30 were ordered to be on the safe side.

            G.  Big Band Dip – Libby Garrett: Questions were asked again about renting tables for this event and the complaints the custodial staff had after clean up in the hallway were brought up.  We need to help the custodial staff more and perhaps give them some food at the dip.  We have reserved the ice cream machine for the band dip.

            H.  Banquet – Sherry Bankes: She has reserved Knights of Columbus again for the banquet.

            I.  Spirit Wear – Jamie Carlson: Things are going well and she has ordered a few more items.  She will be available again at the usual spot for our last home football game.

            J.  U of I Tailgate – Nancy Reed: The tailgate lunch order sheets are due October 18 along with the money.  This is open to all family members.  We fed 300 at the band picnic and we hope to get that many or more for the tailgate.  Nancy would like the name of each person buying a boxed lunch on the form for better control in passing them out.  If you can help Nancy with the tailgate, mention that on the form, too.  Nancy has two tents and 8 tables from Econo Foods.  Last year, all lunches were served within 30 minutes.

            K.  Trip Coordinator – John Tate: no report

            L.  Historian – Deb McKillip: no report

            M.  Ways and Means

Laurie Pearson brought in cheesecakes to sample and to ask if the parents wanted to sell them.  They sell for $15 to $20 a cheesecake, come in pre-cut slices and will last 6 to 9 months in the freezer.  You can refreeze them and we would have free delivery on November 8, in time for Thanksgiving or Christmas.  If we decide to sell (parents only, not students), we would start tonight, take the brochures for 2 weeks and return the brochures by Oct. 24 to the school.  Laurie would collect them and organize the order, along with the delivery of the product on Nov. 8.  We would use one side of the stage to sort the products and be done by 6 p.m.  Trip points would accrue to your child if you sell cheesecake.  After a discussion and vote, we decided that the parents would sell cheesecake.  We will make $5 on every one sold.

                        1.  Coordinator – need one still

                        2.  Fannie May – Cindy Barshinger: nothing additional right now.

                        3.  Gift Wrap – Shari Robinson: The gift book for sign up is going around.  She brought 250 brown gift bags for parents to take home and let interested (and talented!) students or family members stamp them and bring them back for the next meeting.

                        4.  Patron Sales – Dave Pearson: no report

                        5.  Cookie Dough – JoEllen Eshelman: no report

                        6.  Restaurant nights/grocery bagging – Linda Mowrer: She is working on something for the end of the month.  Watch the email and/or phone tree for information.

                        7.  Banquet Wait Staff

                        8.  Bottled Water – Cory and Debbie Silber: The water is still at Heat Control and they will take it to U of I to sell there.

6.  Old Business:

University of Illinois – Students should be reminded to bring extra socks and warm clothes.  There is an opportunity to purchase a video there and have formal and informal photos taken.  We usually sit in JJ-LL as parents and chaperones.  All this information, plus directions to U of I and the itinerary should be sent out in the email when itÕs ready.

Call time for Saturday, Oct. 14 is 10:30 a.m.  They will watch the video tape of Friday nightÕs parade and field show performances.  They will load buses at 11:15.  Chaperones should arrive by 11 a.m.  Tell the kids to have a late breakfast because they parade at 2:20, then get back in the buses, change and drive to the mall in Peoria.  They wonÕt be having a chance to eat lunch before 3:30.

We will put clear Gatorade in the water bottles for Saturday, let Cheryl Ek know, she will be back on Friday night.

            .

7.  New Business:

October 13 – Football game, senior night (already discussed earlier).  We may need additional help since parents of seniors will also be recognized.

            October 14 – Metamora Parade and Field Competition – call time 10:30 a.m. –

Remind students about eating late breakfasts and parents to bring flashlights.  We will be back by midnight or so.

October 21 – U of I Parade and Field Competition (discussed earlier)

Eight students made the IMEA district festival:  Cam Line, Brandon Ouellette, Paul Schlake, Ellen Shelly, Keegan Siebken, Al Silber, Lydia Stout and Clark Tate.  Congratulations to all of them.

A motion was made and passed to adjourn the meeting.

Respectfully submitted,

Tanna Cullen, Secretary
