GHS Band Boosters Minutes January 8, 2008

1.  Call to Order/Introduction:  The meeting was called to order by President John Shelly.  He welcomed everyone to the meeting. 

2.  Secretary’s Report:  John asked everyone to read through the minutes.  They were approved as written.

3.  Treasurer’s Report:  As of January 6, 2008, we had income of $55,691.01 and expenses of $67,924.15 with $40,962.98 in our checking account and $42,696.50 in our money market account for a total balance of $83,659.48.  John Shelly reported that $8,100 in income from the Seminary Street Days had not yet been included in the income and should be added to the ending balance.  A motion was made and passed to approve the incomes and expenses as amended. 

4.  Director’s Report:  Mr. Bredemeier welcomed everyone and reminded the parents that the students should be practicing 60 to 75 minutes a week depending on the band they are in.  He says he has noticed a difference in the level of difficulty of music they are playing.  Also, there will be a gold pep band game Thursday and Mr. B. mentioned that the attendance at pep bands has been the best he has seen.  He commented that there are many good things happening in the band program right now.  He concluded with a reminder that the final trip payment is due Monday. 

            Before beginning committee reports, John Shelly thanked everyone for all their work on the various recent projects and wanted to highlight the work done on the gift wrap, including setting up and tearing it down, for which we made a net profit of about $5,000.  Additionally, he thanked John Tate for all his work on the trip points and money collection.  John Shelly concluded with an announcement of a mandatory parent (or guardian/adult) and student meeting before the trip tentatively schedule for Tuesday, March 11 during the normal booster meeting.  There will be forms that need to be signed that night, along with important information distributed.

5.  Committee Reports

            A. Uniforms –VickiTate/Laurie Pearson: Vicki passed around a form to sign for volunteers to clean, fix, mend and check in all uniforms prior to the trip.  She plans to do a section or two each week, and then store the uniforms in the basement until time to load them for the trip.  The shoes and gold and gauntlets would also be stored in bags and on the hanger with the uniform.  An offer was made and accepted to donate more garment bags.  Vicki also commented that everyone should try on their uniforms soon to see if it still fits or needs to be resized or exchanged.  If someone has grown a lot since the fall, please contact her immediately.

            B.  Trip – John Tate: The last payment for the trip is due Monday, January 14.

            C.  Chaperones – Carolyn Icenogle/DoreneMurfin: No report.

            D.  Communication – Stewart Nyi:  No report.

            E.  Publicity – Gayle Stanley: Gayle will advertise the restaurant night on January 14th at Long John Silvers in the paper.

            F.  Equipment – Mark Stanley: The truck has been confirmed for the trip.  He will make a large deposit when he picks up the truck and receive a refund upon returning the truck.  He has some new steps for Mr. B to get to the roof of the garage on the practice field and has some orange safety foam on the bar leading up to the roof.  

            G.  Flags – Mike Wright, parent of Jenny Wright, is supervising winter guard since Natasha has graduated from KnoxCollege.  Please thank him for donating his time if you see him.

            H.  Big Band Dip – Libby Garrett & ShaelaDuckwiler: Jazz band needs to pick a theme for the Big Band Dip. 

            I. Banquet – Sherry Bankes:  No report. 

            J.  Spirit Wear – Jamie Carlson: No report. A question was raised about obtaining a band t-shirt for the Florida trip.  The students will wear their James Bond t-shirts, and Jamie will contact Breedlove’s about ordering another t-shirt forFlorida, if anyone is interested.

            K.  U of I Tailgate – Nancy Reed: No report.

            L.  Balloon Days – Carole Buebe: Mark Stanley is writing up procedures to pass on to Carole.

            M.  Historian – Deb McKillip: No report..

            N.  Jazz Showcase – Sarah Shelly:  No report.

            O.  Webmaster – Cory Silber:  No report.

            P.  Car Wash – Chuck Bankes – No report.

            Q.  Band Trailer Advertising – Ron Custer – Ron is working on this and needs to find someone to do the lettering for a good price.

            R.  Fine Arts Calendar – Steph Line, Sherry Totten and Donna Slaton: We will wait until the 2008-2009 school year to do the calendar.

            S.  Duck Races - Jamie Carlson/ShaelaDuckwiler: No report.

            T.  Seminary Street Days – Ann Shumaker: We earned about $8,100 on this fund raiser. We were asked to do it next year but with 6 home games and a later U of I performance schedule, we opted not to participate in the fall of 2008.  A motion was made and seconded and we voted in the affirmative that we would be interested in working on this every other year, if it was offered again to us. 

            U.  Ways and Means

                        1.  Gift Wrap – Shari Robinson/Carole Buebe: No report.  We earned about $5,000 net profit.

                        2. Patron Sales – Dave Pearson: No report.

                        3. Bottled Water – Cory and Debbie Silber: No report.

                        4. Cookie Dough – Jo Ellen Eshelman: We are skipping this fundraiser this year.

                        5. Restaurant nights/grocery bagging – Linda Mowrer: Linda was unable to attend and sent in the following report.  The October 17th Happy Joe’s tips collected for the restaurant night were $64.50.  On December 1st bagging groceries at Hy-Vee on Main earned $98.04 in tips.  The weather was bad and we worked only one shift from 10 a.m. to 1 p.m.  The December 22nd bagging groceries at the Hy-Vee on Henderson St. yielded $299.05 in tips.  It was a good day and the kids did a great job.  Next on the agenda is a restaurant night on Monday, January 14th at Long John Silvers from 5 to 8 p.m.  We need 3 to 4 students per shift and have two shifts: 1st shift from 5 to 6:30 and 2nd shift from 6:30 to 8 p.m.  This has also been announced through email and a sign up sheet for parents and students were handed out.  The Long John Silvers fund raiser is slightly different.  In order to obtain a donation of 20% of the sales during the specified time period, you must tear off a ticket and use it when you order your food.  Fundraiser tickets were distributed to the parents and will be distributed to the students tomorrow.  We discussed passing out these tickets at the same table we will be able to use for selling band CDs that night.  If you have any questions, please call Linda at 342-3087 or email her a clmowrer@grics.net.

                        6. Fannie May – Cindy Barshinger: We sold over $10,530 in candy and receive a 50% profit. There are still a few checks to deposit and we currently have netted $5,100.

6.  Old Business

            A. Wells FargoTeen Checking Account – Mr. Bob Juraco: Bob presented the Teen Checking account concept developed by Wells Fargo with the purpose to educate our teens about banking before they graduate from high school The account requires a parent or guardian to sign up as it is a joint account.  Parents are in control of the account and can set daily spending and withdrawal limits.  The account is free if you choose to receive your statements online, otherwise a $3.00 monthly service fee is applied.  To set up the account, both the parent and student need 2 forms of identification and $100 to open the account.  Teens can be educated about overdrafts, have ATM access with a debit card and begin to understand money management.  This debit card would be an excellent tool to use on the Dismey trip.  (If need be, parents could deposit to the account from Illinois while the students are in Florida).  In the event of an overdraft situation, the fee is reduced from normal penalties. Bob handed out a brochure with all the pertinent details and a list of the phone numbers of the personal bankers at both the Henderson St. office and the downtown office.  On Tuesday, January 22 and Thursday, January 24, both offices will extend their normal hours to accommodate applications for the Teen Checking account.  He asked that we call one of the bankers and set up an appointment first before arrival, if possible.  If we need extended hours on Saturday, January 26th, that can also be arranged.  Bob mentioned that he will be going to Florida on the band trip (not as a chaperone, but as a parent) and would be glad to assist anyone in the event of a lost card or any other banking trouble.  He also reminded everyone that fraud is out there all the time and that you should tell your teen never give out their social security number or driver’s license to protect against identity theft.  He also commented that banks will never solicit this information via email. Finally, Wells Fargo does not have any ATMs in Florida, but if your teen uses the debit card at a gas station or grocery store, often they can get cash back without paying any ATM fees.

7.  New Business:

            A.  Item/s from Executive Board – Name change to “GHS Band Parents”   Rhonda Brady explained that a mistake was made with the AG990 form on our state taxes a few years ago.  In order to correct this mistake with the least amount of fees and forms, we need to change our name from GHS Band Boosters to GHS Band Parents.  This is the name that is currently on our 501C3 with the federal government and on our banking account.  A motion was made, seconded and passed unanimously by signifying ‘Aye’ to correct this technicality by changing the name on our by-laws and money market account to GHS Band Parents to conform with the federal document, banking account and the state of Illinois.

            Band Boosters Meeting: March 11th at 7 p.m.  (tentative date for mandatory meeting for the band trip)
