GHS Band Parents Minutes April 8, 2008
1. Call to Order/Introduction: The meeting was called to order by President John Shelly. He welcomed everyone to the meeting. He reported that the recent band trip to Disney World went very well and he thanked all those who helped and in particular, Marte Glass, whose advice and assistance was much appreciated on the return coach ride home. 2. Secretary’s Report: Tanna Cullen mentioned that copies of the February minutes had been distributed at the mandatory March Disney trip meeting and everyone had a chance to see these minutes the month before. The March meeting was a power point presentation by Mr. Bredemeier for all students and parents/guardians of students going on the trip. A motion was made and approved of the minutes as written. 3. Treasurer’s Report: As of March 11, 2008, we had income of $1,326.14 and expenses of $61,017.38 with $6,526.35 in our checking account and $42,696.50 in our money market account for a total balance of $49,222.85. As of April 8, 2008, we had income of $1,867.96 and expenses of $2,581.76 with $5,812.55 in our checking account and $42,983.35 in our money market account for a total balance of $48,795.90. A motion was made and passed to approve the incomes and expenses as presented. 4. Director’s Report: Mr. Bredemeier was unable to attend and Mr. Klaessy thanked the boosters for their help for the recent trip. He was amazed and impressed at the amount of work and cooperation the boosters provided, which contributed to a great trip. Overall, Mr. Klaessy said the trip was a huge success. Upcoming events include the Jazz Showcase on Friday, April 11 at the Pavilion. Michael Stryker will be our guest artist. Gold jazz band will be rehearsing with him on Thursday and Mr. Klaessy commented that jazz band will only have 4 rehearsals for 3 hard pieces for this showcase, which is similar to what professional musicians experience. He also announced that we received 3 trophies for the 3 jazz bands (junior high, silver and gold) that competed at the ROWVA jazz festival in March. 5. Committee Reports A. Uniforms –VickiTate/Laurie Pearson: Vicki reported that she might not be here for the May meeting so she distributed the clipboard with sign up sheets for uniform collection (May 4 and 6 for the tuxedos and dresses after the spring concerts and May 26 for the marching uniform). Vicki thanked everyone who had helped with uniforms during the year and urged someone to volunteer for this position soon to facilitate with training. Next month would be a great observation and training month for a new uniform chair person(s). B. Trip – John Tate: No report. The trip was a success. C. Chaperones – Carolyn Icenogle/DoreneMurfin: No report. D. Communication – Stewart Nyi: No report. E. Publicity – Gayle Stanley: Gayle will advertise in the paper and on the radio for the April 11 jazz showcase. Nancy Reed mentioned that Channel 8 reported that the GHS Marching Streaks were at Disney. Deb McKillip is waiting for pictures from parents to send to Ken Exum at the Register Mail for perhaps an article on the band trip. F. Equipment – Mark Stanley: No report. He thanked everyone for their help this year and especially his co-driver, Larry Brady, on the trip to Florida. G. Flags – No report. H. Big Band Dip – Libby Garrett & Shaela Duckwiler: Shaela reported that she has drafted an ad for the paper, and her son has created a poster. She will be contacting people for the various committees and sending a letter to the students. We will be collecting donations for an auction. Tables from the cafeteria will once again be used. As mentioned before, the theme will be Zoot Suit Riot for the Big Band Dip on May 9th at 6:30 p.m. I. Banquet – Sherry Bankes: The banquet will be May 16th at the Knights of Columbus, with a Disney theme. The committee will be meeting immediately afterwards for additional planning. Sherry presented the dinner catering options of $13.95 for 2 entries, $11.95 for a single entry, $10.95 for a hot sandwich buffet, $9.95 for a cold sandwich buffet and $7.95 for hors d’ouevres. The group voted for the option of 2 entries and a price of $13.95 per person. The budget is $5,000. We discussed a senior gift and decided to go with the DVD that Deb McKillip will create (with assistance from others) and a picture of the senior. Amy Smith offered her assistance along with her husband’s assistance. Sherry will come to GHS to take the pictures of the seniors, perhaps with the Disney hats if they so desire. Deb McKillip asked for Disney photos and you can email them to her at tdaaa@comcast.net. Carole Buebe reported that she had a good video of the Disney parade, as did Mr. Klaessy. Perhaps we can get a copy of some of these videos and pictures to Cory Silber to post on the webpage. It would be great to have a link to our band website from the school website. It was suggested that we contact Mr. Eisemann or Mr. Chiles to request this link. J. Spirit Wear – Jamie Carlson: Jamie reported that she had given her t-shirt money to Marsha except for $38 outstanding. She thanked everyone for their orders. She and her husband inquired about deposit procedures for money collected by any of the various committee chairs. Would it be possible to have a deposit slip for chair persons to directly deposit the money? This question generated a discussion of our responsibilities as an organization from a financial viewpoint. (Note: Some of the questions we were unable to answer as the treasurer had to leave the meeting early). A motion was made to create a committee to review our procedures. Carole Buebe will be the chair and the following people volunteered to assist her: Tim Carlson, Tanna Cullen, Doris Kowalski, Marsha Johnson and Nancy Reed. K. U of I Tailgate – Nancy Reed: No report. L. Balloon Days – Carole Buebe: No report. M. Historian – Deb McKillip: No report. We already discussed sending her Disney photos earlier in the meeting. N. Jazz Showcase – Sarah Shelly: The guest artist will be Michael Stryker, a piano and jazz professor at WIU. Date is Friday, April 11 at 7 p.m. in the Pavilion. Tickets are $5 and available at the door. O. Webmaster – Cory Silber: No report. P. Car Wash – Chuck Bankes – No report. Q. Band Trailer Advertising – Ron Custer – No report. R. Fine Arts Calendar – Steph Line, Sherry Totten and Donna Slaton: No report. S. Duck Races - Jamie Carlson/Shaela Duckwiler: No report. T. Seminary Street Days – Ann Shumaker: No report. U. Ways and Means 1. Gift Wrap – Shari Robinson/Carole Buebe: Nancy Reed bought several tubs (between 12 to 15) for $178 to store the wrapping paper and supplies. They all have locking lids and are currently in the band trailer. 2. Patron Sales – Dave Pearson: No report. 3. Bottled Water – Cory and Debbie Silber: We have plenty for next year. 4. Cookie Dough – Jo Ellen Eshelman: We are skipping this fundraiser this year. 5. Restaurant nights/grocery bagging – Linda Mowrer: No report. 6. Fannie May – Cindy Barshinger: No report. 7. Cheesecake – Laurie Pearson: No report. 6. Old Business: If you would like to volunteer for an band parent office next year, be a committee chair person, or if you have any ideas or suggestions for band parent leadership, we are now asking for your help. We will need a new vice president, treasurer and secretary, along with several committee chair people. John Shelly will send an email to Stewart Nyi (to forward to our band parent email list) announcing the current vacancies. The slate of officers will be presented at our next meeting on May 13th. 7.
