GHS Band Boosters Minutes April 30, 2007
1. President’s Report: The meeting was called to order at 7:05 p.m. and everyone was welcomed to the meeting. There was a large number in attendance and Kim thanked everyone for coming. 2. Secretary’s Report: The band parents were asked to take a moment to review the minutes. The minutes were approved. 3. Treasurer’s Report: As of April 30, 2007, we have $24,805.72 in our checking account and $41,278.86 in our money market account for a total balance of $66,084.58. A motion was made and passed to approve the expenses of $4,258.75 as presented. 4. Director’s Report: We will postpone thedirector’s report until the end of the meeting. 5. Committee Reports A. Uniforms: Vicki Tate/Laurie Pearson: Vicki reported that she has many helpers for Sunday, May 6 uniform check-in after the wind symphony concert and for Tuesday, May 8 after the symphonic and concert band concert. She reminded parents to have their students bring a change of clothes to go home in because they will be turning in all the parts of their uniform. Please bring the hangers that the uniform came with. It is still not too late to volunteer to help, the more people working the faster the job is completed. B. Chaperones – Carolyn Icenogle/Dorene Murfin: No report. C. Communication – Stewart Nyi: He provided his email address, which is snyi61@gmail.com Send him an email and he will add you to the band email list. His GHS Communications website is snyi61.googlepages.com/home. If you have a senior and want to remain on the email list, please let Stewart know, otherwise your email address will be deleted once your child graduates. D. Publicity – Gayle Stanley: She will place an ad in the paper for the Big Band Dip. She will look at last year’s ad and do something similar. E. Equipment – Mark Stanley: No report. F. Flags – Ann Seibert: No report. G. Jazz Showcase – John Shelly thanked everyone for all their help and said it was a great event. We received $840 in income from admissions and concessions sales. H. Big Band Dip – Libby Garrett: The date is May 11 from 6:30 to 9:30 and she still needs a few more volunteers. She needs help with the silent auction, 50/50 and set-up. She asked about the donations for the silent auction. Lori Haslem was the only one present for that sub-committee and reported her assignments were complete. Anyone still wishing to contribute decorations (the theme is the 50’s), please bring them to GHS. We will be storing them in Carole Buebe’s classroom storage area at GHS. Two GHS teachers are helping with the decorations so we can get started more easily right after school on that night. Gayle Stanley has decorations from Long John Silver and Mary Icenogle has some 45 and 33 records. There were not any notes on the quantity of coffee, tea or lemonade to make. She will ask the Mr. and Mrs. Self, who organized this last year. Libby passed around the sign up sheets again and said she will be calling us to remind us of our jobs. John Tate has asked everyone who works at the Dip to sign in and write their job/jobs. He needs a detailed recording in order to assign points for work. The sign in sheets will be in the cafeteria. Extra tickets for sale will be in Mr. B’s office. Libby will also send out an email reminder to Stewart to forward concerning the various details about the Big Band Dip. I. Banquet – Sherry Bankes: The banquet will be on May 18 at the Knights of Columbus. The deadline for returning your reservation and check has passed. It will be extended by one more week, until Monday, May 7th. Your reservation for cake only at the banquet will be due no later than Monday, May 14th. Sherry will be contacting seniors to confirm their reservations. As of tonight, she has only 52 responses of the 182 band members. Tickets for senior students will be free. Remember that no dinners may be purchased on the night of the banquet. J. Spirit Wear – Jamie Carlson: No report. K. U of I Tailgate – Nancy Reed: No report. L. Trip Coordinator – John Tate: No report. M. Historian – Deb McKillip: Bob Self is doing the slide show for the banquet and he has a good response of pictures turned in to him. He will also create a CD with pictures on them to give to the seniors at the banquet and sell for $5 to the other students. M. Ways and Means 1. Fannie May – Cindy Barshinger: No report. 2. Gift Wrap – Shari Robinson/Carole Buebe: No report. 3. Patron Sales – Dave Pearson: No report. 4. Cookie Dough – JoEllen Eshelman: No report, all but $100 has been turned in. 5. Restaurant nights/grocery bagging – Linda Mowrer: Linda apologized for not being able to schedule as many events as she wanted to and wants to continue in this position next year. 6. Bottled Water – Cory and Debby Silber: They have 26 cases of water in storage and 3 cases plus 16 bottles at his house. We sold 50 bottles at the Jazz Showcase. They have plenty of water available to supply us for the Big Band Dip and the Balloon Races in July. 7. Band Trailer Advertisements – We still need a chair person. 8. Band Calendar – Steph Line: Steph had a prepared handout (on gold paper) for parents to pick up by the band door. If you wish to buy an open calendar square and send a message to your student, please send $10 and the form to her at the address on the handout. This is a first come, first served situation and space is limited. They have the type setter lined up and have received some printing bids. Steph calculates that the ads will cover the cost of printing and the sales will then be all profit. Bill Dickerson will donate photos for ad space and Bob Self will also donate photos. The calendar should be ready for sale the first day of band camp and also be available at the parent meeting in August.
6. Old Business: We still need a chair for the Hot Air Balloon Races on July 27 and 28. The job consists mainly of organizing the sale of water bottles and the work shifts of the students. A question was raised as to whether we could also sell helium balloons there because it seems the sponsors usually run out and there are children who still want a balloon. Also, we have one more parade on Memorial Day. John Shelly will organize the water and soda afterwards in the courthouse parking lot, again serving it on the south west side as far away from the speeches area and microphone as possible. We must ask the students to be quiet as they are dismissed and dismiss them in small groups so as not to disturb the people who want to hear the remarks.

Cory Silber will be our new webmaster. The web address is http://www.ghsbandboosters.info Cory will donate the monthly cost of maintaining the webpage. He has purchased 200 gigs of storage, which has a lot of capabilities. He wants to create more pages for committee members and update the photo pages. He will be contacting the committee members. A big thanks to Cory for taking on this position.
A motion was made and passed to adjourn the meeting at 7:42 p.m. Everyone who had already received the trip information at the last meeting was dismissed, if they wanted to leave prior to Mr. Bredemeier beginning his report.
8. Director’s Report: Mr. Bredemeier announced the upcoming concert dates. Wind symphony and the 8th grade band will perform on Sunday, May 6 at 2 p.m. Symphonic band and concert band will have their spring concert on Tuesday, May 8 at 7 p.m. The Big Band Dip is Friday, May 11 at 6:30 p.m. and the Banquet is Friday, May 18 at 6:30 p.m. Audition music for next year was given out last week and auditions start on May 14th for next year’s bands. Mrs Gonzalez asked the band parents to help out with the Duck Race in September so we need a new committee for this event. Jay Mattson told Mr. Bredemeier that the band will be the recipient of Seminary Street Days again this October (we were also the recipient in October of 2003, our last trip year). This means that we will receive 10% of all sales that day and the raffle tickets sales for the Seminary Street shopping spree. More details to follow on this next fall. Mr. Bredemeier thanked the parents for helping to provide an outstanding program through the entire year for the students.
Then Mr. Bredemeier passed out an 11 page handout titled “2008 Very Tentative Trip Information.” He went over each page with us, explaining some of the background and thought process of the trip committee. The goal is to communicate early and as much as possible the information for next year’s trip. This will help people decide about their students’ participation. In return, we need a commitment from you if you want your student to go by May 21, along with a $50 non-refundable deposit. This intent to participate form is the final page (page 11) of the handout. We need this page back from all students, whether the answer is yes or no because we have to do head counts for busses and hotel rooms, which effect many details of the planning process.
