GHS Band Boosters Minutes August 28, 2007 1. Call to Order/Introduction: The meeting was called to order at 7:05 p.m. and everyone was welcomed to the meeting. John Shelly thanked everyone for coming and for all the work we will be doing for our trip year. 2. Secretary’s Report: Tanna Cullen reported that the minutes will be posted on the website each month, which is www.ghsbandboosters.info. She thanked Corey Silber for the excellent job he is doing with the website. At this time, due to another conflict, John Tate, chair of our trip committee, gave his report. He announced that the trip points have been posted for the students and was current as of the last event worked. If you have any discrepancies with the points, please contact him immediately. He reported that the chaperones for the trip had been chosen and would be having a meeting in November. For most people, the next trip payment is due September 21, if you are paying under Plan #1, the every other month plan. John still needs a few contracts and payments from the July due date and letters have gone home to those in that situation. The fan package deposit money is due to him by September 10th (it is due to Bob Rogers Travel Company on the 14th). Prices appear to be very reasonable for this package, which includes hotel for 4 nights on the property and park hopper tickets for those days. Transportation is up to each individual. If you have any questions at all about the trip, please contact John at 342-0301 or email him at thetate1@insightbb.com. Please do not contact Mr. Bredemeier about fan package questions, he will be focusing on marching season and has many other responsibilities at this time. All questions should go to John Tate. He will be up to date on all the trip details. 3. Treasurer’s Report: As of June 30, 2007, Marsha Johnson reported we had income of $18,005.14 and expenses of $20,307.57, with $22,503.29 in our checking account and $41,748.86 in our money market account for a total balance of $64,252.15. Marsha then reported our income as of August 26, 2007 was $27,007.29 and expenses were $12,448.06, leaving us with $37, 132.52 in our checking account and $41,748.86 in money market for a grand total of $78,881.38. A motion was made and passed to approve the incomes and expenses of June and August as presented. 4. Director’s Report: Mr. Bredemeier welcomed everyone to the meeting and thanked everyone for helping our students succeed through music. He commented that the band boosters is a very important organization and an excellent one to be involved with because of all the support they provide to the students throughout the year. Mr. B reminded everyone to turn in a resource form, which includes your email address, and he will pass them on to Stewart Nyi. Once a week, Mr. B forwards the band announcements to Mr. Nyi for sending to our email list. He reminded everyone not to ask Mr. Nyi about questions, but to look for the name of whatever parent is in charge of the event and follow up with that person about questions you might have. Extra resource forms are still available if you need one. Mr. Bredemeier said the students have been working hard and he is very pleased with the progress. He is hoping that they will have learned the entire first song of the field show by Friday’s first home football game. Call time on Friday is staggered as follows: Color guard at 5 p.m., drum majors and percussion at 5:30 p.m., section leaders at 5:45 p.m. and everyone else at 6 p.m. Come in full uniform and check in with Mr. B face to face (students often look very similar when all are in uniform!). He also reported that if parents arrive right before the half time show, the Athletic Director said that the parents must still pay for admission to the football game. The Labor Day parade is Monday, September 3 and call time is 9:15 a.m. for everyone. Students must come in full uniform and meet at the Cooper Tire store on the northeast corner of Main and Chambers Streets. Remind students to leave their instrument cases in their car or at home because the parade concludes at the Court House. We do not return to our starting area. Marching band meets after school from 3 p.m. to 5 p.m. on Tuesdays and Thursdays. If there is no home football and it is the Friday before a competition, they also practice on those Fridays from 3 p.m. to 4 p.m. (such as Friday, Sept. 21, Oct. 5 and Oct. 12). 5. President’s Report: John reported that the band played on Aug. 22 for the GHS opening day teacher meeting. He received many compliments about the band, including ones from Dr. Denisar and the key note speaker. He also announced that the boosters are working hard and many committees have already been active. 6. Committee Reports A. Uniforms: Vicki Tate/Laurie Pearson: Vicki reported that she has extra sets of washing instructions for the uniforms, which are on the piano. If you can help with passing out the gold, plumes and gauntlets on Friday, please show up at 5:30 p.m. The students will not be taking home the gauntlets for the first time this year and Vicki demonstrated how they are to be stored. She also asked the parents who collect the gauntlets and gold to place the shower curtain (already provided) on the ground for the students to place their bags when they return them for check in. She said using this shower curtain is a vital step in the process to keep the dirt out of the mesh bag. The mesh bag will breathe and help prevent the mildew growth on damp gauntlets. It is no longer so important to alphabetize the bags we collect. The student name and uniform number will be on the bags. The flutes have already tried this new procedure once, but it will be unfamiliar to the rest of the band on Friday night and at the Monday parade. All the extra pair of hands that can help will therefore be appreciated. Either Vicki or Laurie will be at school tomorrow by 12:30 p.m. to distribute the remaining two uniforms. FYI: If you have well water and need to have Vicki wash your student’s uniform, please get it to her asap after each performance. B. Chaperones – Carolyn Icenogle/DoreneMurfin: Carolyn said that the sign up sheets are going around and asked folks to please sign up if they can chaperone for any of the competitions. C. Communication – Stewart Nyi: Stewart thanked everyone who wrote their email address in a clear manner, which helps him type in the correct email address for our band email list. He also said with the improved band website, he will be taking down his sub website after forwarding the U of I information to Cory Silber. He also mentioned that if you discover you are no longer receiving the weekly band emails, please send him an email and he will reenter your address. His email address is snyi61@gmail.com D. Publicity – Gayle Stanley: Gayle commented that the paper published some good photos of the band recently. E. Equipment – Mark Stanley: The trailer is out and in good shape. He will check the lights and it’s ready to go. There was no damage to the shed with the recent wind storm, however the scaffolding blew over,but is back up. We do not know when we will have storm doors on the shed. F. Flags – Natasha reported that she has two people who volunteered to sew some extra flags. We are reusing some of our old flags, but we have 17 girls this year and have 14 flag sets. We will have a full set of flags for the first song on Friday and the rest of the additional fabric needed has been ordered. G. Big Band Dip – ShaelaDuckwiler: No report. H. Banquet – Sherry Bankes: No report. I. Spirit Wear – Jamie Carlson: Jamie will receive her shipment tomorrow from her most recent order. She is now using Breedlove’s and they are doing decals for us, too. Jamie said she will be set up for spirit wear sales at the north end of the football field near where the band sits. J. U of I Tailgate – Nancy Reed: Nancy said that a sign up list is going around for helping at the tailgate. Sometime after the first week of September she will hand out the box lunch order forms for the tailgate and requests that you list the name of everyone ordering a boxed lunch to aid in quicker delivery of the food at the tailgate. K. Trip Coordinator – John Tate: Report was given at the beginning of the meeting. L. Balloon Days – Mark Stanley: We sold $500 in bottled water. Many people brought their own coolers, which affected sales. We need a chair for next year for this position. M. Historian – Deb McKillip: Debbie reported that she gave Cory Silber pictures from the Band Olympics tonight, so watch the website as they will be posted soon. Please let her know if you want any special pictures taken in the future. N. Jazz Showcase – Sarah Shelly: No report. O. Webmaster – Cory Silber: Cory said that he will be posting quite often to the webpage in order to keep it up to date, so please visit it often. As a matter of fact, compared to last year, we have double the number of visits and usage is way up. He has all 2006-2007 band photos posted. If you take digital pictures of the band and want to see them on the website, please contact him. We are creating a wonderful archive to share with friends and family. Cory also asked that if committee chair people do not want their telephone number or email address on the website, to contact him. He reported that he is diligently working on a new, revamped webpage for next year,capable of using push buttons, page transfers and with new photos, so stay tuned. If you have any trouble with the current website or suggestions, please contact him. P. Car Wash – Mr. B reported that we made $600. We need a chair for this for next year. We should also show the students how to properly wash a car for a donation. Thank yous will be sent to George Burgland and Mick Tate with Econo on Main Street by the secretary. Q. Band Trailer Advertising – Ron Custer volunteered to fill this position. Mark Stanley will provide him with a packet on the prices and sizes of the vinyl advertising. R. Fine Arts Calendar – Steph Line, Sherry Totten and Donna Slaton: Steph reported that the calendar is progressing, although it is a little behind her goal. The artwork has been slow in coming into her as some must have corporate approval. The ads that were sold will cover the costs of printing the calendar, so that our sales of it will be all profit. All band and choir events for Lombard, Churchill and GHS will be on the calendar, so please encourage all friends and family to purchase this calendar for $5. Steph hopes to have the calendars ready for sale during the GHS open House on Sept. 6. John Shelly reported that in the process of soliciting ads for the calendar, two opportunities to earn income in the community came to our attention. First, Brighter Life will give the band a $500 donation for help in conducting an inventory during their closed hours one night. Second, Wells Fargo is willing to support our program and help our students by encouraging them to set up an account for the trip, where parents can also put money on a debit card for the students and use online banking to monitor their spending. There would be an educational component to this program and Mr. Bob Juraco would probably be the Wells Fargo contact the band would work with to coordinate this program. It is possible for the band to earn over $1000 utilizing this program. S. Duck Races: Sept. 9 – Jamie Carlson/ShaelaDuckwiler: Duck Sales: Aug. 28 and Aug. 30: GHS Calls to previous purchasers Drivers to deliver ducks Sept. 1 and Sept. 8 – Selling Ducks at Super Wal-mart: 9 a.m. – 1 p.m. Volunteers are needed for one hour time slots. Jamie has sign up sheets going around for the above time slots at GHS and Wal-Mart. She reported that the boosters will receive 50% of the total GHS duck sales. There are also student incentives for selling ducks. We will also sell ducks at the GHS open house. T. Seminary Street Days – need volunteer. On Saturday, Oct. 27th, the band will play for people on Seminary Street. We did this 4 years ago (played our field show music as a entire group and then had small groups taking turns playing outside Chez Willy’s and a few other stores for the afternoon) and earned as much as $7000 via two methods. The same two ways to earn income apply this year as well. First the band will receive 10% of the total sales on Seminary Street that day. Second, we will receive a portion of the $5 raffle ticket sales for a $1000 Seminary Street shopping spree to be awarded that day (don’t have to be present to win). Jay Mattson has been very helpful and is hopeful this will be a big success, setting a goal for $10,000 for us. He will create the poster and also the tickets, using our band helmet as a logo on the tickets. U. Ways and Means 1. Coordinator – Could use a volunteer 2. Gift Wrap – Shari Robinson/Carole Buebe: Carole reported that Sherry found boxes and wrapping paper for $600 less than we spent last year. They decided to split the ordering and gave 50% of the order to this new online source and the other 50% to Wilson. All gift wrap supplies have been ordered. 3. Patron Sales – Dave Pearson: No report. 4. Bottled Water – Cory and Debbie Silber: Cory reported we have 17 cases of water remaining on the last shipment received. It is approaching it’s expiration date and needs to be moved. We will try to sell it soon and use it up. We will not reorder water until the spring and decrease our size of the order. 5. Cookie Dough – Jo Ellen Eshelman: No report. 6. Restaurant nights/grocery bagging – Linda Mowrer: Linda has set up Saturday, Sept. 8 for bagging groceries at HyVee on Main from 10 a.m. to 4 P.m. She needs another adult chaperone volunteer and 8 students per shift. Also, on Sunday, Sept. 9, we will have a Happy Joes’ restaurant night from 4 p.m. to 8 p.m. We will also try to have a Happy Joe’s night in October when the Woodmen have their meeting at Happy Joe’s. 7. Fannie May – Cindy Barshinger: No report. 8. Cheesecake – Laurie Pearson: Last year we sold 475 cheesecakes and earned $2,135 in two weeks. This year, we will begin taking orders on Sept. 11 (at the next booster meeting) for delivery the first week of November (in time for the holidays). Only parents will sell as the students are doing the duck sales in the midst of marching season and will be doing candy and cookie dough sales after marching season is over. Please collect money either at the time of the order or delivery. We will also try to have samples at the spirit wear table at a football game, as we do receive 10 free cheesecakes. We had samples last February at the district concert and they were well received. Laurie is looking for new ideas and ways to reach more customers, such as letters to junior high band parents, an ad in the paper, samples, etc. 7. Old Business: Trip – Mr. B wanted to emphasize that there will be a lot of fundraising this year for the trip. Please take advantage of these opportunities to increase the points your student can accumulate to reduce the price of their trip. At this point in time, points could be worth $1 to $2 each, so encourage your students to keep participating. 8. New Business: A. Next meeting: Tuesday, Sept. 11 7:00 p.m. B.
