GHS Band Boosters Minutes October 9, 2007 1. Call to Order/Introduction: The meeting was called to order by Vice President Rhonda Brady. She welcomed everyone to the meeting. 2. Secretary’s Report: Rhonda asked everyone to read through the minutes and that they would be voted on for approval later in the meeting. 3. Treasurer’s Report: As of October 9, 2007, we had income of $21,204.18 and expenses of $8,345.53, with $55,898.76 in our checking account and $42,222.12 in our money market account for a total balance of $98,120.88. A motion was made and passed to approve the incomes and expenses as presented. 4. Director’s Report: Mr. Bredemeier reported that the students performed very well at the recent Washington parade and field competition. Mr. B asked if anyone had taped Washington’s field show. He would like a tape without judges’ comments. Cory Silber volunteered that he had posted a video tape on the website. The students continue to work very hard in this heat. We have only 3 days left until the U of I competition, and we have a great show to perform. Mr. B advised everyone to take advantage of the tailgate lunch opportunity, especially because the stadium is torn up right now. We will be performing to and sitting on the opposite side this year. It’s in the students’ best interests to purchase a tailgate lunch, which will be served after the parade. Mr. B also asked if everyone knows exactly when they are supposed to cheer and applaud for the students. He invited parents to come at 4:15 on Thursday, Oct. 11 to the practice field and he will coordinate with the students and parents the exact point at which applause would be appropriate and appreciated (note: others band directors have been doing this). Mr. B reminded everyone it would be a very long day on Saturday and to be prepared for all weather. Mr. Klaessy will be distributing the itinerary and most likely it will be a 4:30 a.m. call time. We will parade in front of the judges at 8:57 a.m. and perform on the field at 3:42 p.m. To assist us in our early departure on Saturday, we decided to load the instruments on Friday after practice. Mark Stanley will have the truck here by 4 p.m. The trailer will already be here for the pit instruments. 5. President’s Report: Rhonda read John Shelly’s report in which he thanked everyone for all the assistance at every event. He is deeply appreciative of the boosters’ efforts. He congratulated the students on their performances. Also, a big congratulations to Mr. Bredemeier on being selected ‘Teacher of the Month.’ Rhonda then asked at this point if there were any corrections to the minutes. Laurie Pearson pointed out that October 22 is a Monday. After making this correction, the minutes were approved as presented. Before beginning committee reports, Rhonda announced that Cory Silber had tabulated all the volunteers on the resource forms by committee to assist committee chair persons in contacting helpers when they need them. 6. Committee Reports A. Uniforms –VickiTate asked if those parents of seniors who help with the uniforms could leave early from assisting the students at U of I in order to see the show. Both Vicki and Laurie Pearson are parents of seniors and want to be able to watch the show at U of I. There are many capable uniform volunteers who can assist the students up until the last minute at U of I. Also, if the uniform bag is ripping, please tape them or bring them to Vicki. If there is no hope of salvaging the garment bag, please save the little name card and write the uniform number down on the new uniform bag you will be given. Please clean and hang the uniforms before the U of I performance. B. Trip – John Tate – John had to leave early, but left a report that the trip points are posted and current as of today. If there are any questions, please direct them to him. He will be sending a letter home to the students and chaperones going on the trip prior to the November 16th payment due date. The letter will include details of anticipated band contributions and the dollar value of points earned so that you can accurately calculate your final trip payment. Please expect this letter, ask your student for it in early to mid November. C. Chaperones – Carolyn Icenogle/DoreneMurfin: We are all set for Saturday. Dorene will call you on Wednesday if you were selected to serve as a chaperone for U of I D. Communication – Stewart Nyi: Stewart has completed the lists by student name, instrument, parent, etc. and given them to Mr. Klaessy two weeks ago. If you need this information, please contact him. The phone tree has also been completed. Rhonda asked if Stewart would initiate a phone tree for those not on the email list informing them about U of I details. E. Publicity – Gayle Stanley: Gayle contacted Rick Heath at the radio station and he will do reports of the competitions. The paper is doing a good job of reporting our week-end performances. We are still promoting the music CDs of the band from 2005-2006 for sale for $12 or 2 for $20 at various locations in town. Debbie McKillip asked if we could get a digital photo included with the Sunday news article about the band. Rob Buck, a band parent, is one of 3 rotating week-end editors and may be able to assist us in this matter. F. Equipment – Mark Stanley: A couple of clearance lights are out on the trailer. He will look into fixing those. Mark will also be here by 4 p.m. on Friday to load the instruments for U of I. If there is a check-in sheet available, that would be very handy. It was decided that the flutes, as usual, will continue to take their instruments onto the coaches with them, instead of packing them on the truck. The tables, canopies and boxed lunches for the tailgate will go in storage under the coaches. G. Flags – No report. H. Big Band Dip – Libby Garrett & ShaelaDuckwiler: No report. The date will be May 9. I. Banquet – Sherry Bankes: No report. The date will be May 16. J. Spirit Wear – Jamie Carlson: No report. K. U of I Tailgate – Nancy Reed: Nancy reported that she had orders for 46 lunches plus the ones she had received tonight. It is a good lunch and we can accommodate special needs. We will also order and pay for the lunches for the 4 bus drivers and the directors. Nancy usually orders a limited amount of extra lunches for some students who didn’t order and decided they wanted one. She will sell these to students first and if there are leftovers, then sell to others. We will be feeding the students after the parade once they have changed out of their uniforms. Although it will be about 10 a.m. when we serve the lunches, the students will have been up for at least 6 or more hours and will be hungry after the parade. If you volunteered to help with the tailgate, feel free to watch the parade. The banquet tables she has are very used, and Libby Garrett offered her some that Nancy could borrow for the day. She has several volunteers bringing canopies, but could always use more. L. Balloon Days – Carole Buebe will chair this next year. Mark Stanley has the information. M. Historian – Deb McKillip: No report. N. Jazz Showcase – Sarah Shelly: No report. It will be Friday, April 11. O. Webmaster – Cory Silber: Cory has been working on posting both photos and videos (new to the website!). He asked that we be patient because it takes about 2 minutes to download the videos from our recent Washington competition. He is also trying to get more things posted to the website, such as results from the competitions. The website, with its video and other information will be highlighted in the next email from Communications. P. Car Wash – Chuck Bankes – No report. Q. Band Trailer Advertising – Ron Custer – Ron is still working on this for next year. R. Fine Arts Calendar – Steph Line, Sherry Totten and Donna Slaton: Rhonda read a note from Steph Line announcing that as soon as the calendars are ready, she will let Stewart know so that he can send out a message via email. She will need volunteers to sell the calendars during concerts. The delay in production has been caused by the delay in receiving the ads and proofs. A suggestion was made about changing the calendar to a January to December calendar at this point in time. Mr. B will check with Steph to see if that is possible. S. Duck Races - Jamie Carlson/ShaelaDuckwiler: No report. T. Seminary Street Days – Ann Shumaker: This event will be on Saturday, October 27. Ann has envelopes with 25 tickets in them for boosters to sell. Each ticket costs $5; and the money and envelope with both sold and unsold tickets are due back October 19. We can sell up to October 27 and will be selling tickets at the event from 11 a.m. to 4 p.m. We will also provide volunteers to sell tickets for carriage rides. The band will perform at 1:00 p.m. with a call time of 12:15. Ann also had posters advertising the event for boosters to distribute around town. The money for the $1000 shopping spree comes from the raffle ticket sales. There was some discussion as to a meeting place for the band at call time and the meeting place has yet to be determined. U. Calendar – StephLine (see above) V. Ways and Means 1. Gift Wrap – Shari Robinson/Carole Buebe: We will begin wrapping gifts after Thanksgiving until Christmas Eve. There will be a training session for the students. Also, we will need to store the supplies somewhere else next year (racks, wrapping paper, boxes, ribbons, etc.). 2. Patron Sales – Dave Pearson: Laurie reported that letters will be mailed out after U of I. 3. Bottled Water – Cory and Debbie Silber: Cory reported that a new shipment had arrived. 4. Cookie Dough – Jo Ellen Eshelman: No report. 5. Restaurant nights/grocery bagging – Linda Mowrer: Linda reported that we have the following dates for bagging groceries: Saturday, Dec. 1 from 10 a.m. – 4 p.m. at theHyVee on Main Street and Saturday, Dec. 22 from 10 a.m. – 6 p.m. at the HyVee on Henderson Street. You must be at least 16 to bag groceries at the HyVee on Henderson, but there is no age limit for the HyVee on Main Street. Also, Wednesday, October 17 will be our first restaurant night this year at Happy Joe’s. We will need some students to play music and bus tables. We will earn tips and a percentage of their sales from 4:30 p.m. to 8:00 p.m. that night. Modern Woodsmen will be having their meeting at Happy Joe’s sometime in January and Linda will try to schedule another restaurant night on that same evening. 6. Fannie May – Cindy Barshinger: The forms for the candy will come home on November 5 and are due back November 16. It will be delivered before Christmas. 7. Cheesecake – Laurie Pearson: The order forms are due back by October 22. The cheesecake will be delivered November 7 and Laurie will be here all day from 10 a.m. to 5 p.m. on the stage. Please collect your cheesecake or have your student collect it after school. She would appreciate another volunteer to help her on November 7. She will ask Stewart Nyi to send an email reminding everyone when to collect their cheesecake. 7. Old Business: Bottled water was discussed, as we voted at the last meeting to give bottled water to the students after performances. The bottled water we purchased costs $.51 a bottle, while the bottled water from Econo costs $.21 a bottle. Additionally, Econo donates the ice for our water bottles. A motion was made, seconded and approved to continue to buy Econo water bottles for the students and sell the band water bottles at various events. Another motion was made, seconded and approved to continue selling the band water for $1 a bottle. (fyi – we used 307 bottles of water and filled 2 ten gallon coolers 3 or 4 times at the very hot Washington competition - 90 degrees plus weather). 8. New Business: We want to thank the following two people for their work on senior recognition night for us: Julie Davis for the sashes and Kim Sevigny for the flowers. On senior recognition night, Friday, October 19th, seniors and parents of seniors need to report at the north end of the football field at 5:30 for pictures. Bring your $10 for Dickerson Photography at this time. We will need more volunteers for the opening of the show as the senior parents are being recognized with their senior student and unable to work at that moment. The seniors should have received a form in the mail from the athletic department as to who will be attending and need to have it back to the athletic office by Wednesday, Oct. 17. Rhonda highlighted another way to earn money for the boosters program. There is a neighbor to neighbor form from Sherwin Williams, (located by the sign in sheets for our meeting) which is good for this school year. You will get a discount on paint you purchase from them while at the same time GHS band boosters get a percentage of the sales on this program. The budget that was distributed at the August meeting was reviewed, but not approved. At this current meeting, a motion was made, seconded and approved to accept the budget as presented. There were two other fund raising items suggested: 1. We will explore the suggestion to have a Premier Jewelry party, either in late January for Valentine’s Day or mid to late April for Mother’s Day. We could host an open house and a percentage of the sales would benefit the band. We would need a chairperson if we decide to proceed. 2. MarySpring, owner of Brighter Life, would like to hire our group to do a week-end inventory of her store. She would donate $1000 to the boosters and provide pizza. Nancy Reed volunteered to chair this event and over 16 people present volunteered to help. We would work in shifts on a Friday, Saturday and Sunday to complete the inventory. Carole Buebe inquired about purchasing some velour or square of fleece on sale, or a towel or other protective material for placing on the asphalt at competitions for the sousaphones. This would protect the sousaphones from being scratched up when not in use and on the ground at competitions. A motion was passed to purchase material for less than $30 for this purpose. 9.
